Therapy Session Length Guidelines and Billing Procedures for Accurate Reimbursement and Compensation

Protocol for going over session length and billing guidelines for reimbursement.

Updated over a year ago

Please be reminded of the therapy session length guidelines and billing procedures for accurate reimbursement and compensation.

Therapy sessions durations should last as booked by the patient or as previously agreed with the patient at the moment of booking.

If a 90 or 120 minute session is needed, the patient should be aware beforehand and two 45 or 60 minutes long sessions should be booked consecutively.

Sessions exceeding the previously booked time won’t be reimbursed unless the extended amount was strictly necessary and the patient agreed to be charged for the additional time at the moment of the extension.

Please note that if the patient is using insurance, 90 minutes and 120 sessions are not reimbursable unless the patient agree to pay the session out of pocket.

If you need to extend a session or the session has extended beyond the original allotted duration, follow these steps within 6 HOURS after the appointment:

  1. Contact Member Success.

  2. Provide the patient's name.

  3. Explain the reason for the change.

  4. Share the original and extended durations.

Note that sessions not extended through this process won't be reimbursed. Additionally, kindly upload therapy session notes immediately after the session. You have 72 HOURS to update the notes; beyond that, it would not be eligible for compensation or reimbursement.

Thank you for your attention and cooperation. Please do not hesitate to reach out to our support team for any questions or assistance.
